Instructions for Authors

Accepted papers will be published in the conference proceedings, which will be distributed as electronic copies and published on the conference website. Papers that are not selected for oral presentation are considered for presentation in the poster session. Please see instructions for submission of abstracts and full papers below. We also have instructions for preparing your presentations and posters as well as the judging rubric that will be used by the jury.

Abstract submission 

The submission deadline for abstracts is Thursday February 16, 2017. Note that this is a hard deadline which will not be extended due to the tight timeline for conducting the reviews. Feedback on submitted abstracts is Monday February 20, 2017. Authors are requested to strictly follow the guidelines below during the preparation of their abstracts:

  • Abstracts must be in English. 
  • Abstracts should not exceed 500 words. 
  • Give your abstract an expressive and concise title
  • Indicate the session theme in which you want to see your submission placed
  • Abstracts should clearly and concisely describe the work, its objectives and contributions. 
  • Abstracts must be the original work of students (individual or team work). 

Abstracts must be submitted online through the conference electronic submission system. The electronic submission system accepts only Adobe PDF format.

Full paper submission 

Authors of submitted abstracts will be invited to submit a full paper to be reviewed for oral presentation at the conference. The submission deadline for full papers is Monday March 20, 2017. Note that this is a hard deadline which will not be extended due to the tight timeline for conducting the reviews. Notification of acceptance of full papers is Monday April 3, 2017.

Authors of submitted abstracts are requested to strictly follow the guidelines below during the preparation of their papers: 

  • Papers must be in English. 
  • Only students can be authors of papers. Advisors can be acknowledged in the acknowledgement section at the end of the paper. 
  • Papers should not exceed 6 pages in length including all figures, tables, and references. An appendix of 2 pages may be added for drawings or other illustrations. Any paper that exceeds the 6 pages limit (8 pages with appendix) will be automatically rejected unless exceptionally approved by committee. 
  • Papers should be in IEEE two-column format with text font size of 10 points. Authors should use either Word or LaTeX to format their manuscripts, strictly using the style files and templates given below.
  • The full papers should be submitted online through the conference electronic submission system with the same account used for submitting the abstracts. 
  • The electronic submission system accepts only Adobe PDF format. 

The title specified while submitting the paper should EXACTLY MATCH the title specified at the top of the paper itself

Templates for papers and posters

Submission of final version of full papers

Authors of accepted full papers will be required to submit the final version of their full papers after addressing the comments of the reviewers. The submission deadline for the final version of the full papers is Monday April 10, 2017. Note that this is a hard deadline which will not be extended due to the tight timeline for producing the conference proceedings. 

Accepted papers will be published in the conference proceedings, which will be distributed in electronic form and on the conference website. If you don't want your paper to be published in the conference proceedings, please contact the executive editor. The final version of full papers should be submitted online through the conference electronic submission system with the same account used for submitting the abstracts. The electronic submission system accepts only Adobe PDF format. 

Note: The title specified while submitting the paper should EXACTLY MATCH the title specified at the top of the paper itself

By submitting the final version of your full paper, you are committed that at least one of the paper authors will attend the conference and present the paper.

Presentation Guidelines

Please check the conference schedule for the session in which you present. You have to be present at least for the full extent of your session including the panel discussion. The time of your presentation is 10 minutes. Please be ready well before your talk with a running and open presentation on your laptop. You can use the session laptop if you bring your powerpoint or pdf presentation on a USB drive to the session chair before the session starts. Don't count on an internet connection for your presentation.

In a summary, here is some advice for preparing your presentation:

1. Start the presentation by explaining what you are doing (I’m going to argue that/ I’m going to convince you that/…) so it’s a little more than a “hook”, it’s about saying outright and clearly what you are going to communicate;

2. Build a story line, sequence, etc.

3. That slides are not the show, you are the show. Don’t read, don’t put too many words, use support material that is intelligently selected to add to what you do and refer to it;

4. Keep slides clean

5. Don’t do too many slides… At most most most 10 for a 10 minutes presentation.

6. Speak well, rehearse, organize, present, etc.

Poster guidelines

Posters will be presented in the poster sessions. You are expected to stand by your poster during the poster session ready to answer questions and to present you project.The judging rubric can be found here.

We use standardized panels on which you can attach your poster. Please do not exceed the following size for your poster:

The poster size required is 80cm x 100 cm or (109cm max)
